FAQs

What is tripvana? tripvana is an online travel agency whose purpose is to simplify the research, planning, booking and management of personalized trips.

Why should I use tripvana? There are 4 steps to crafting a personalized trip:

  1. Research – Travelers typically spend hours doing Google searches to learn about destinations, activities and accommodations across hundreds of different websites, before deciding where they want to go and what they want to do
  2. Planning – This is typically a completely manual process. Travelers check locations and distances on Google Maps, check flight and hotel options on various sites etc. to create a day by day itinerary by themselves. Doing this manually also results in lower quality trips, as travelers do not have the same knowledge of destinations as expert travel advisors.
  3. Booking – Online travel agencies today are focused only on this step. Each OTA specializes in either flights or hotels or activities or packaged tours, resulting in scattered bookings across multiple sites.
  4. Management – Travelers invariably need to make changes to their itinerary and cancel or change some bookings once travel starts. Today, this is a very painful process as all the bookings are scattered across multiple sites, and the customer service relationships are very transactional, with travelers often being sent back and forth between the OTA and the supplier’s customer support staff.

On tripvana, consumers can do everything on just ONE site. We offer

  1. Immersive content on destinations, activities and accommodations around the world
  2. Access to local travel experts who know the destinations extremely well, and can offer specific recommendations, and support travelers with the creation of the perfect, personalized itinerary
  3. One bookings engine to make all your bookings including flights, hotels, activities, and your customized itineraries created by travel advisors in one transaction, on one invoice
  4. A mobile app for storing all your travel documents, with 24×7 personalized customer service for making any changes to your itinerary

How does tripvana work?

  1. The first step for any traveler is to decide where they want to go, what they want to do, and where they want to stay. To do this, tripvana offers travelers a rich library of photos, videos, 360, VR and AR content. Travelers explore this content on a PC, mobile device or a VR headset, and create thematic travel boards to save their favorites.
  2. When they are ready to create an itinerary, travelers push a button to share their saved favorites with an expert travel advisor who can offer personalized recommendations, and help in creating the perfect, personalized trip. Travelers can then book the personalized trip, as well as any additional flights, hotels or activities in one transaction, on one invoice.
  3. While traveling, travelers can access all their trip documents and itinerary information, anytime, anywhere with the tripvana mobile app. They can also access AR guided tours for various destinations, and contact a dedicated 24×7 customer support rep directly from the app.
  4. Finally, travelers can share their travel experience by posting photos with AR filters, videos and blogs to their tripvana account.

Do I have to create a tripvana account? You do not have to create an account to browse our content, our featured destinations or trips. However, you will need to create an account to save your favorites and create your own travel boards or to contact a travel advisor for planning your trip.

Do I have to pay to create an account? No. You can create a tripvana account for free.

Does my account work on all devices – PC, mobile, VR? Yes, you can use the same account on all devices.

How can I change my password? If you are a consumer and have forgotten your password, you can just go to tripvana.com/login/ and click on “Forgot Password.” If you are an agent, you can go to tripvana.com/agent-login/ and click on “Forgot Password.”

How do I edit my profile information? If you are a consumer, login and click on the menu on the top right corner with your profile picture, and select the option “Profile.” You can change your profile information from there.

How do I create a trip request? Create a board with your favorite destinations, activities, accommodations and packages, then go to the “My Boards” page from the menu on the top right corner, find your board, and click on the button that says “Contact Travel Advisor” below the board. An email will automatically be sent to a travel advisor with all the favorites you have saved to that board. The travel advisor will send you a message to your tripvana account within 48 hours to initiate the process of creating a personalized trip.

How many boards can I create? You can create as many boards as you like.

Can I save multiple destinations to a board? You can save any number of destinations, activities, accommodations and packages to a board. We recommend creating boards that correspond to a trip. For example, if you are planning a trip to three countries in Europe, you can create a board called “My Europe Trip” and save all your favorites from those three countries to that board.

Who are the expert travel advisors? Tripvana works with the best “destination management companies” around the world, who have years of expertise crafting personalized trips to the destinations they cover. In addition to the DMC travel advisors, tripvana has its own travel experts who have unique local knowledge of destinations, activities and accommodations in each region.

How long does it take to create a personalized itinerary? The creation of the itinerary is an iterative process. Once you connect with your travel advisor, you will work with them to iterate on your itinerary until you are completely satisfied and ready to book. Since every trip is completely personalized, the time for creating an itinerary varies by traveler.

What documents do I need to send my travel advisor? Your travel advisor will advise you of what documents are needed. Typically, we will need a passport copy for each traveler as well as details like any mobility or dietary requirements.

Can you help me get a visa? Your agent can advise and give you practical information regarding your visa application. They cannot under any circumstances make the application for you, however. For more information, you can consult the website of the embassy in the country you’re looking to travel to.

How do I cancel my trip? If you have to cancel your trip, you will need to inform your travel advisor. If you wish to cancel your trip and have already paid: Cancelation fees may apply, with the amount depending on how far in advance you are canceling, and depending on the agent’s terms and conditions that were outlined to you when booking. It is up to you as the traveler to give notice to your agent if you need to cancel your trip, within the period outlined in the cancelation Terms and Conditions of the agency. If you have canceled your trip and need to be refunded: This will need to be calculated on the basis of the cancelation conditions of your local agency and refunded back to the card that you had made your payment through.

Who do I contact during my trip if I have an issue? Once you have booked your trip, we will assign you a dedicated customer support rep with your local destination management company. If there’s anything you’re unhappy with or if you experience any problems during your trip, you can get in touch with this person via your tripvana account, or by phone, on the number provided. Your local DMC rep is there to provide 24 hour on-the-ground support and assistance from the moment you touch down in the destination, and they’ll do their absolute best to resolve any and all issues for you. You can also contact our Customer Care Team at any time from our website or mobile app.

Do I need travel insurance? Can you help me get this? There are always unexpected surprises when traveling abroad, which is why we recommend taking out insurance before setting off on your trip. Your credit or debit cards might already provide insurance, so it’s always worth checking with your bank first to confirm whether you need to take out any additional insurance options. If not, your travel advisor can recommend travel insurance options.

How does the payment process work? Once you have agreed upon the final itinerary with your agent, you will be sent the General Terms & Conditions for your trip and your first payment link to pay the deposit. Your trip will be officially reserved as soon as we have received your deposit.

For Travelers and Members Last Updated: 4/15/2020 Introduction and Scope of Services Tripvana is an online travel agency that enables consumers to view content on destinations, activities and accommodations, connect with tour operators, travel advisors/agencies to plan and create a customized itinerary, and book tours & activities (“Tours”) and travel packages (“Packages”). Tours are booked directly from the respective independent tour operator offering the Tour (each an “Operator”). The “Travelers” are travelers interested in booking Tours. The “Members” are persons who completed Tripvana’s account registration process. Travelers and Members are jointly referred to as “you”. The “Services” comprise listings for Tours independently created by Operators in their own discretion and responsibility (each a “Listing”) as well as Content (as defined below) which are accessible at www.tripvana.com including its subpages (collectively, the “Site”) and any related applications (the “Application”). Tripvana is solely acting as a commercial agent for the Operators. Tripvana itself is not an operator of Tours, nor is it a provider of Tours, nor a representative or proxy of an Operator nor an insurer. Tripvana does not own, sell, resell, furnish, provide, manage or control any transportation, tour or travel services and does not act as an agent to the Travelers. Tripvana’s responsibilities are limited to exclusively facilitating the availability of the Services and serving as the commercial agent of each Operator. Tripvana has no control over the conduct of Operators, Travelers, MEMBERS and other users of the Services. Tripvana CANNOT AND DOES NOT CONTROL ALL THE CONTENT CONTAINED IN ANY LISTINGS OR THE CONDITION, LEGALITY OR SUITABILITY OF ANY TOURS. Tripvana IS NEITHER RESPONSIBLE NOR LIABLE FOR ANY LISTINGS AND TOURS. BOOKINGS WITH THE OPERATORS ARE MADE AT THE TRAVELER’S OWN RISK. Applicability These terms and conditions (“Terms”), as amended from time to time, apply to all Tripvana services. By accessing, browsing or using the Site, Application and Services through whatever platform, you agree to comply with and be legally bound by these terms irrespective of a registration or certain use or way of access. These Terms govern your access to and use of the Site, Application and Services and all Content (as defined below) vis-à-vis Tripvana and, where applicable, the Operators. Please carefully read these Terms, the Privacy Policy and the Legal Notice, each of which is incorporated by reference into these Terms. If you do not fully agree to these Terms, you have no right to obtain information from or otherwise continue using the Site, Application and Services. If you act on behalf of a company or other legal entity, you guarantee that you have the authority to act on behalf and to bind that company or other legal entity to these Terms. If you are using this Website and/or making travel reservations or bookings for another person you agree to inform that person(s) about the Terms & Conditions that apply to the travel reservations and bookings you have made on their behalf, including all rules and restrictions applicable thereto and these Terms of Use. You agree to be financially responsible for all of your use of the Website (as well as for use of your account by others). You are responsible for any bookings and travel reservations made by persons under your direction or control. You also warrant that all information supplied by you or on your behalf, or by members of your household in using the Website is true, current, complete, and accurate. Furthermore, you also confirm that the Traveler is not an unaccompanied minor. Without limitation, any exploratory, speculative, false, or fraudulent reservation or any reservation in anticipation of demand is prohibited. Eligibility The Services are intended solely for persons who are aged 18 years or older. Any access to or use of the Services by anyone under 18 years is expressly prohibited. By accessing or using the Services you guarantee that you are 18 years or older. Privacy Tripvana’s Privacy Policy applies. Please see them for information and notices concerning Tripvana’s collection and use of your personal information. Bookings and Payments Bookings by Travelers with Operators The respective Operator only, and not Tripvana, is solely responsible to the respective Traveler for honoring any confirmed bookings and making available any Tours reserved through the Services. The Operator is also responsible to provide all information legally required to the Traveler. If you, as a Traveler, choose to enter into a transaction with an Operator for the booking of a Tour, you agree and understand that you will be required to enter into an agreement (including releases) with the Operator only and you agree to accept any terms, conditions, rules and restrictions associated with such Tour imposed by the Operator and will receive necessary information from the Operator only. You acknowledge and agree that Tripvana is no party to the agreement but only acts as the commercial agent to the Operator and Tripvana accepts no liability arising from or related to any of your agreements with the Operator unless Tripvana is legally obliged to do so or to fulfil certain information and security obligations towards the Traveler. The Operators are requested to either confirm or reject a booking within the specified timeframe (which is generally within 24 to 48 hours of when the booking is requested, as determined by Tripvana in its sole discretion) or the requested booking will be automatically cancelled. Once your confirmed booking transaction is complete (including payment) you will receive a confirmation email summarizing your confirmed booking. Payments by Travelers You agree to pay for the “Total Cost” (including the price of the tour and, where applicable, taxes, levies and duties) for any booking requested, in accordance with the pricing terms set forth in the applicable booking page, if such requested bookings are confirmed by the applicable Operator. The availability and price of a Tour can change any time until you have received a booking confirmation. In case only the deposit is payable at the time of booking or booking confirmation, the balance of payment (i.e., the Total Cost minus the deposit) is due and will be payable as stated in the Operator’s terms according to the booking page. Tripvana in its own discretion collects (through third party payment processors) the Total Cost (as one payment or deposit plus balance payments) for and on behalf of the Operator as its commercial agent. You hereby authorize the collection of such amounts by charging the credit/debit card provided as part of requesting the booking, or by one of the other payment methods as described on the Site or Application. Bank and Credit Card Fees Some banks and credit card companies impose fees for international transactions. If you are making a booking from outside of the United States on a US credit card, your bank may convert the payment amount to your local currency and charge you a conversion fee. This means the amount listed on your credit or bank card statement may be in your local currency and therefore a different figure than the figure shown on the billing summary page for a reservation booked on the Website. In addition, a foreign transaction fee may be assessed if the bank that issued your credit card is located outside of the United States. Booking international travel may be considered to be an international transaction by the bank or card company, since Tripvana may pass on your payment to an international travel supplier. The currency exchange rate and foreign transaction fee is determined solely by your bank on the day that they process the transaction. If you have any questions about these fees or the exchange rate applied to your booking, please contact your bank. International Travel By offering reservations for travel in particular international destinations, Tripvana does not represent or warrant that travel to such areas is advisable or without risk. Tripvana will not be liable for damages or losses that result from travel to such destinations. You and any children traveling with you must be in possession of a machine-readable passport valid for 6 months after their trip return date along with applicable visas. It is your sole responsibility to secure and/or pay for any and all visas, reciprocity fees, affidavits, immunizations, etc. that are required to be permitted entry into each destination. In some countries you may be subject to entry (reciprocity) fees and/or departure taxes/exit fees which will be collected at the airports upon entry/departure by local government authorities. Please note that entry to any country may be refused even if the required information and travel documents are complete. For up-to-date detailed information on travel documents and visas, entry/exit taxes and further information on entry and exit requirements please check with your local consular services. Obtaining and carrying these documents is your sole responsibility. Tripvana bears no responsibility for such information and will not be responsible for advising and/or obtaining required travel documentation for you, or for any delays, damages, and/or losses including missed portions of your vacation/holiday related to improper documentation or government decisions about entry. Tripvana is committed to comply with sanctions imposed by the Office of Foreign Assets Control (OFAC). These sanctions change from time to time and impose restrictions on travel companies. Tripvana will not offer for sale journeys that include travel to any sanctioned country. Tripvana reserves the right to cancel any reservation made that is contrary to OFAC policy and/or sanctions and Tripvana will not directly or indirectly use any funds, or lend, contribute or otherwise make available funds to any person or entity, for the purpose of financing the activities of any company, country and/or persons currently subject to any U.S. sanctions administered by OFAC. Health: Recommended inoculations for travel may change and you should consult your doctor for current recommendations before you depart. It is your responsibility to ensure that you meet all health entry requirements, obtain the recommended inoculations, take all recommended medication, and follow all medical advice in relation to your trip. Traveler Cancellations and Refunds If:

  • the applicable Operator does not confirm the requested booking, or,
  • as a Traveler, you cancel your requested booking before the requested booking is confirmed by an Operator, any amounts collected by Tripvana or its third-party payment processor will be refunded to the Traveler within a commercially reasonable time, depending on the selections the Traveler made via the Site and Application, and any pre-authorization of such Traveler’s credit/debit card will be released.

Once your booking is confirmed by the applicable Operator, the Total Cost of your Tour is subject to the cancellation and payment terms of the Operator. Please carefully read the fine print and important information in the Listing, the booking page and your reservation confirmation for policies as applied by the Operator. A cancellation must be done via your booking conversation page. If you are advised that your booking is on an ‘on request’ basis (which is typically the case for tours booked shortly prior to departure), the Total Cost of your Tour is subject to the cancellation and payment terms of the Operator from the moment when you have submitted the booking request. When a tour is ‘on request’ the Operator needs several business days to ensure that all of the components of the tour package can be confirmed for you. This process may not be interrupted by a request to cancel. So, if the request comes back approved you will be charged for the full amount, and if, as a Traveler, you cancel such a booking, this does not entitle you to any refund. If the Operator cannot confirm your request, you will receive a full refund. Operator Cancellations and Refunds If an Operator cancels a confirmed booking made via the Services, a refund of the paid amount for such booking will be made to the applicable Traveler within a commercially reasonable time of the cancellation by the Operator and the Traveler may receive an email or other communication from Tripvana containing non-binding suggestions for alternative Listings and other related information. If an Operator cancelled a confirmed booking and you, as a Traveler, have not received an email or other communication from Tripvana, please contact Tripvana at info@Tripvana.com. Tripvana Rewards Programs Travel Credits Tripvana may in its sole discretion provide travel credits as part of Tripvana’s rewards program. These travel credits will be based on the tour you book and they may be deposited into your Tripvana account. Promo Codes Tripvana may in its sole discretion offer promo codes from time to time and unless otherwise stated they have an expiry period of 30 days from implementation of the offer. Promo codes can only be used for bookings for tours and on the same basis as outlined above for the Friends with Benefits program. Only one promo code can be redeemed per booking and they may not be combined with travel credits.
